Privacy policy

Chemistry Toolkit is a subscription library of teaching resources for chemistry teachers and schools. This policy explains what personal data we collect, why we collect it, and the choices you have. We’ve written it in plain English on purpose - if anything is unclear, ask us.

1. Who we are

Chemistry Toolkit Ltd (“Chemistry Toolkit”, “we”) is the data controller for the personal data described in this policy. You can contact us about anything in this policy at info@chemistrytoolkit.com.

2. The data we collect

• Account data - your name, email address, password (stored hashed), qualification levels you teach and, if you tell us, your school.
• Billing data - your subscription plan and payment history. Card details are collected and stored by our payment processor, not by us. For School plans we hold the invoicing details your school provides (contact name, finance email, purchase-order references).
• Usage data - which resources you view and download, searches you run, and technical information such as browser type and IP address, used to keep the service secure and to understand which resources are useful.
• Toolkit AI inputs - the lesson details you type into Toolkit AI or the free demo on this website (level, topic, lesson length and notes). These are sent to our AI infrastructure provider solely to build your lesson plan. Please do not enter personal data about pupils or colleagues.
• Enquiries and form submissions - what you send us through the contact, school-demo and free-trial forms on this website: your name, email address, school details and message. We use them to reply to you and to set up your trial or demo.
• Newsletter - your email address, if you subscribe to the teaching-ideas newsletter. Every issue includes an unsubscribe link that works first time.
• Correspondence - emails and support messages you send us.

3. Why we use it, and our lawful bases

• To provide the service (contract): running your account, processing downloads, building Toolkit AI plans, taking payment and providing support.
• To improve the service (legitimate interests): understanding which resources and features are used so we know what to write next, and keeping the platform secure.
• To send marketing (consent): occasional emails about new resources and features, only if you opt in. Every email includes an unsubscribe link that works first time.
• To meet legal obligations: tax and accounting records connected to payments and invoices.

4. Pupils and children

Chemistry Toolkit is a service for teachers and schools, not for pupils. We don’t knowingly collect personal data about anyone under 18, our accounts are for education professionals, and we ask you not to enter pupil names or other pupil data anywhere in the service - including Toolkit AI.

5. Cookies

This website sets no analytics, advertising or other marketing cookies - which is why there is no cookie banner to click through. The member area uses essential cookies only, to keep you signed in and the service working; these don’t require consent. If we ever introduce analytics cookies we will ask for your consent first, and give you a way to change your mind.

6. Who we share data with

We never sell personal data. We share it only with processors who help us run the service - payment processing, cloud hosting, email delivery and AI infrastructure for Toolkit AI - each bound by a data-processing agreement, and with authorities where the law requires it. On a School plan, the named administrator at your school can see which colleagues hold accounts under the school’s subscription.

7. International transfers

Our services are hosted in the UK and the European Economic Area where possible. Where a processor stores data outside the UK, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum to standard contractual clauses.

8. How long we keep data

Account and usage data are kept while your account is active and for 12 months after it closes, then deleted or anonymised. Billing records are kept for 6 years as tax law requires. Support correspondence is kept for 2 years. You can ask us to delete your account and associated data at any time (see your rights, below).

9. Your rights

Under UK GDPR you can ask us to: access the personal data we hold about you; correct it; delete it; restrict or object to how we use it; and provide it to you in a portable format. Email info@chemistrytoolkit.com and we’ll respond within one month. You also have the right to complain to the Information Commissioner’s Office (ico.org.uk), though we’d appreciate the chance to sort things out first.

10. Security

Data is encrypted in transit and at rest, access to production systems is restricted and logged, and passwords are stored using a modern hashing algorithm. No system is perfectly secure, but if a breach ever affects your data we will tell you and the ICO as the law requires.

11. Changes to this policy

If we make material changes we’ll email account holders before they take effect and update the date at the top of this page. Minor clarifications may be made without notice.
